What to Include in a Balloon Decoration Enquiry

A useful balloon decoration enquiry includes the event date, Sydney suburb, venue, indoor or outdoor setting, preferred colours, approximate dimensions, reference photos, access details and any delivery or setup request. You can include a budget if you have one, but the physical space and event details are still needed.

Clear information helps Happy Balloons assess the request without filling gaps with assumptions. It does not need to be a finished design brief. Separate the details that are fixed from the ideas where you want guidance.

Start with the event date and location

Provide the event date, the Sydney suburb and the venue name or type. If the venue has a separate contact for supplier access, include that information as well. State whether the event and proposed decoration area are indoors or outdoors.

The location alone does not explain the setup conditions. A venue may have stairs, lifts, loading instructions, restricted entry points or a set period when the space can be accessed. Include what you know and identify anything that still needs confirmation.

If you are unsure how the setting affects the plan, read the Indoor vs Outdoor Balloon Decor guide before submitting the request.

Describe the purpose and position

Explain where you want the decoration and what that area will be used for. Examples include an entrance, background wall, main table or photo position. Mention nearby doors, windows, furniture or walkways that may affect the available space.

State which area is the priority if you are considering more than one. This gives the enquiry a clear centre and makes it easier to discuss other positions without treating every idea as equally important.

Add measurements and useful photographs

Provide the approximate width and height of the intended area when possible. If exact measurements are not available, label them as estimates. A rough number is more helpful when it is paired with a photograph that shows the whole position.

Take venue photos from a normal viewing distance. Include the floor, nearby furniture and any feature that limits the usable area. If you send inspiration images, explain what you like in each one. It may be the colour balance, general shape or placement rather than every visible detail.

Do not rely on a reference photo to communicate scale. The source venue may be very different from the room you are using.

Explain the preferred format and colours

If you already know the format, describe it in straightforward terms. If you are deciding between a bouquet, garland or arch, the balloon decoration format comparison can help you choose the most accurate wording.

List the main colour first, followed by any supporting colours. Note whether an invitation, sign, wall or other event element has already fixed part of the palette. If you are flexible, say which details may change instead of presenting every colour as required.

Include access, delivery and setup details

Explain how the venue can be accessed and when the intended area becomes available. Include parking or loading instructions supplied by the venue, lift or stair access, the venue contact and any requirement that affects movement into the space.

State whether you are asking about Sydney local delivery, selected event setup or another arrangement. Sydney local delivery and selected event setup are subject to date, location, selected product, access requirements and schedule. The Sydney balloon delivery page provides delivery context, but the event enquiry still needs the details above.

Use a budget as context if you have one

A budget is optional. If you include it, treat it as planning context and explain which part of the decoration matters most. Do not remove the dimensions, venue photographs or access details, since those facts describe what the event requires.

If the budget is open, say that plainly. A clear priority is still useful. For example, you may care most about the background area and be flexible about smaller additions elsewhere.

Review the enquiry before sending

  • Event date and Sydney suburb
  • Venue and indoor or outdoor setting
  • Main decoration position and approximate dimensions
  • Preferred colours and format
  • Venue and inspiration photographs
  • Access, delivery and setup details
  • Contact information and any optional budget context

Send the information through the Happy Balloons decoration enquiry form. Keep a copy of the venue details so you can update the request if access or placement changes.

Frequently asked questions

Can I send an enquiry without exact measurements?

Yes. Provide estimates, label them clearly and include wide photographs of the intended area. Exact measurements can be added when they become available.

How many reference images should I send?

Send the images that explain the idea clearly. Label what you like about each one so the enquiry does not depend on someone guessing whether colour, shape, size or placement is the important part.

Should I include a budget?

A budget is optional. It can provide context, but the event date, location, dimensions, photographs and access requirements are still necessary for assessment.

Does sending an enquiry confirm delivery or setup?

No. Sydney local delivery and selected event setup remain subject to date, location, selected product, access requirements and schedule.
